Otto for MiiMate: Chrome extension privacy policy

This policy explains what the Otto for MiiMate Chrome extension ("the extension") collects and how it is used. The extension is a tool for MiiMate recruiters. It is operated by NovumTech Partners, LLC, doing business as MiiMate, New York, NY. Questions: info@miimate.com.
Who can use it
Only MiiMate team members with a MiiMate account can use the extension. It does nothing until you sign in with your MiiMate email and password.
Your browsing. The extension does not monitor your browsing. It sends the address of the tab you are on only when you open the extension (and does not store it), and it reads a page only when you click "Save to Otto". How MiiMate monitors its own systems is explained in the electronic-monitoring notice you acknowledge in the MiiMate app, as New York Civil Rights Law §52-c requires.
What the extension collects, and when
- Your sign-in. After you sign in, a session token is kept in the extension's own browser storage so you stay signed in. Your password is not stored by the extension.
- The page you are on, when you open the extension. The address of the current tab is sent to MiiMate to check whether the person on that page is already in MiiMate. It is not stored.
- Profile details, only when you click "Save to Otto". The extension reads the one page on screen at that moment:
- LinkedIn: by default only the profile link and the person's name. The rest is looked up from a licensed professional data provider. Reading more of the LinkedIn page is an optional setting each recruiter can turn on.
- GitHub, company websites and job boards: the name, title, company, location, email and similar details shown on the page.
- Video messages, only when you record one. Your screen, microphone and (optionally) camera are recorded after you start recording and approve Chrome's prompts. The video and a thumbnail are uploaded to MiiMate's private storage and attached to an email draft that must be approved before anything is sent.
The extension has no background activity: it never reads pages you don't ask it to, and it never navigates, scrolls, or opens other profiles.
How it is used
Only to create or update candidate, client contact and company records in MiiMate, and to prepare video outreach for recruiter review. Every save shows what changed and can be undone for 24 hours.
Where it goes
Information is sent over an encrypted connection to MiiMate's secure systems and, for LinkedIn profiles, to a licensed professional data provider to look up professional details. MiiMate protects it with the administrative, technical and physical safeguards described in the MiiMate Privacy Notice, in line with New York's SHIELD Act. It is not sold, not used for advertising, and not used to decide anyone's creditworthiness or for any purpose unrelated to MiiMate's recruiting work.
How long it is kept
Saved records are kept in MiiMate under the MiiMate Privacy Notice. Video messages are deleted 15 days after the recipient first views them, or 30 days after sending if never opened. Signing out removes the session token from the extension.
People whose details are saved
Candidates and client contacts saved through the extension have the rights described in the MiiMate Privacy Notice, including asking what we hold, correcting it, deleting it, and asking us to stop contacting them. Email info@miimate.com.

If we change this policy we will update the date above.
