MiiMate (NovumTech Partners, LLC) is a tech recruiting platform based in New York, NY. This notice explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the choices you have. If you have a question, email info@miimate.com.
What we collect
- What you send us. When you apply or submit a role, we collect the details you enter: name, email, phone, LinkedIn and GitHub links, your resume, what you're looking for, and, for hiring companies, your company, contact details and the role description.
- Professional information from public and licensed sources. To find people for roles, we look at public professional profiles (for example GitHub) and information from professional data providers, such as current job title, employer and skills.
- Our conversations with you. Emails you exchange with our recruiters, notes our recruiters write, and, only with the consent of everyone on the call, recordings and transcripts of calls and meetings.
- Links we send you. If a recruiter sends you a video message, a candidate profile, a shortlist, a deck or an agreement link, we record when it is first opened so the recruiter knows you have seen it. Our emails do not contain tracking images.
This website uses no advertising trackers. To understand which businesses are interested in our services, it uses a business-data provider that may identify the company a visit comes from, based on technical details such as the network address, and sets a cookie on this website for that purpose. It is not set up to identify individual visitors. To keep spam out, our two forms use a security check that tells people apart from bots. It uses technical details about your browser for this purpose only.
No biometric information. We do not collect biometric identifiers such as fingerprints, face scans or voiceprints. Call and meeting recordings and transcripts are kept only as a record of the conversation and are never used to identify anyone by their face or voice.
How we use it
- To match candidates with roles and contact you about opportunities that fit.
- To help hiring companies find and hire candidates.
- To keep accurate records of our work with you, and to follow up.
- To keep our services secure and meet our legal obligations.
How we use AI
Our recruiters use AI tools, including Otto AI, the recruiting platform we built, to help find potential candidates and companies, summarize information such as resumes and call notes, suggest possible matches, and draft messages. MiiMate does not use your personal information to train AI models. People make every decision: a recruiter reviews AI-generated suggestions and every message before anything is sent, and no candidate is excluded from consideration, nor is any hiring or interview decision made, solely by AI. You can ask us about this at any time.
Who we share it with
- Hiring companies. We share a candidate's details with a hiring company when we put that candidate forward for a role, and we talk with the candidate first.
- Service providers who help us run our business and are not allowed to use your information for their own purposes. These include providers of data hosting, website security, email and calendar, AI, call transcription, meeting note-taking, and professional data. The provider of company-level visit insights receives technical details about visits to this website and handles them under its own privacy policy.
- When required by law, or to protect our rights and the safety of others.
We do not sell your personal information, and we do not share it for advertising.
How long we keep it
- We keep candidate, contact and company records until you ask us to delete them. You can ask us to delete your record at any time.
- Video messages are deleted 15 days after they are first viewed, or 30 days after they were sent if they are never opened.
- Call and meeting audio is deleted 30 days after it is recorded. The written notes and transcript are kept with the record.
Your choices
- Ask us what information we hold about you, ask for a copy, and ask us to correct it or delete it.
- Ask us to stop contacting you. Use the unsubscribe link at the bottom of our emails, reply asking us to stop, or email info@miimate.com, and we will stop.
- Say no to a call or meeting being recorded. We only record with everyone's consent.
To make a request, email info@miimate.com. We may need to confirm your identity first. We honor these requests for everyone, wherever you live. Depending on where you live, you may also have rights under local law, for example:
- European Union and United Kingdom. We rely on our legitimate interest in finding and contacting professionals about relevant roles, on steps you ask us to take (such as applying for a role), and on your consent where we ask for it. You can also complain to your local data protection authority.
- Canada. You can access and correct your information and withdraw your consent, subject to legal limits.
- US states with privacy laws, such as California. You can access, correct, delete and get a copy of your information, and you won't be treated differently for using these rights.
Cookies and similar technologies
Our public website does not use cookies for advertising. It uses a cookie for the company-level visit insights described above. The security check on our two forms may use technical information from your browser, and where needed a cookie, only to tell people apart from bots. Our internal recruiting system, which only our team can sign in to, stores sign-in information in the browser to keep them signed in. Our emails can include the open-tracking image described above.
Security
We protect personal information with administrative, technical and physical safeguards suited to how sensitive it is, including:
- Encryption of information in transit and at rest.
- Sign-in required for our team, with each person able to see and change only what their role requires.
- A log of important actions, such as who changed or deleted a record.
- Service providers chosen for their security practices and allowed to use your information only to provide their service to us.
- Review of these safeguards as our systems and team change.
If a security breach affects your personal information, we will notify you, and the authorities where required, as New York law and other applicable laws require. No system is perfectly secure, but these safeguards are designed to keep your information safe.
Children
Our services are for working professionals and are not intended for anyone under 18. We do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it. If you believe we hold information about someone under 18, email info@miimate.com.
